EVENT COORDINATOR

WHO WE ARE
State Fair Park & Event Center is home of the annual 10-day Central Washington State Fair, Yakima Valley SunDome and hosts over 150 events annually which represent a wide variety of events and community activities throughout the year.

THE POSITION
We are looking for an individual that is experienced, energetic, able to adapt under diverse circumstances quickly and above all is a team player. This person will work directly with the Event and Production Manager to help manage all aspects of the event department from advance planning stages through the end of the event. This position will work event hours as needed to support events and assist in monitoring the execution of event details and be available to interact with client. This position will also be responsible for oversight of planning and event production for smaller events.

JOB DUTIES
  • Work with assigned clients to coordinate event planning and execution by researching, problem solving, communicating through email and meetings, answering questions, conducting pre-event walkthroughs.
  • Coordinate event details and prepare event production documents for assigned client events.
  • Assist in preparing event cost estimates for clients based on event needs.
  • Assist in preparing final event settlements.
  • Troubleshooting during the event preparation and during the event to ensure that all event setups are correct including making decisions about policy, procedures, billing, and staffing.
  • Checks building/ground setup prior to event and inspect facilities conditions after event ends and move-out/clean-up is completed.
  • Serve as on-site coordinator during assigned event hours.
  • Guide clients in preparation of events, explaining contracting provisions, policies, and procedures.
  • Make sure that fire and safety codes are met during the planning, set-up, and actual event.
  • Keep and cultivate relationships with customers, vendors, and State Fair Park partners with professional and courteous demeanor.
  • To be flexible to perform other duties as assigned.
  • Ensure all client and event information is entered accurately in the company database software.

REQUIRED EDUCATION & EXPERIENCE


  • Education – High School Graduate
  • Some knowledge and experience in time management, project management or other similar event or production related field.
  • Computer Skills: Working knowledge of Microsoft Office.

Job Type: Full-time

Salary: The hourly rate of $18 – $22 per hour (annualizes $37,440 – 45,760) plus annual discretionary bonus

This position requires the ability to work a flexible schedule that includes working evenings, nights, weekends, and some holidays.
