DECORATING
Due to the historical value of our buildings, we do have strict guidelines for all decorating. Please respect and adhere to all guidelines.
WHAT YOU CAN DECORATE WITH:
- Painters tape
- Zip ties
- Damage Free Hanging Command Hooks
- Non helium balloons
- Battery operated, flameless candles
WHAT YOU CAN NOT DECORATE WITH:
- No helium balloons
- No smoke or fog machines
- No real candles (only battery operated, flameless candles)
- No nails, tacks, staples, or push pins
- No glitter
ALCOHOL
No outside alcohol is allowed at State Fair Park. All alcohol must be purchased through and served by OVG360 Food Services & Hospitality.
FOOD AND BEVERAGE
OVG360 Food Services & Hospitality is the exclusive food and beverage provider in all rentals including the Yakima Valley SunDome. Outside food (homemade, only) can be brought into the Modern Living Building, Pioneer Hall and State Fair Room with pre-approval from SFP.
No outside caterers (i.e. licensed business caterers) are allowed on the grounds.
OVG360 Food Services & Hospitality and their own invoice and payment collection.
State Fair park has exclusively contracted with Coca-Cola and only their products and no other carbonated beverage, water, or energy drinks are allowed to be sold, sampled or distributed. In addition. No other beverage company is allowed to provide signage or sponsorship activations on grounds.
SIGNAGE
State Fair Park can provide an A-FRAME sign for your event the day of your event. If you plan to hang your own signage/banners inside the buildings, please be certain to only use the Damage Free Hanging Command Hooks, zip ties, and/or painters tape.
Placing your event on our Reader board can be requested; however, public, ticketed events for the Yakima Valley SunDome take precedence.
DEPOSITS/DAMAGES
A $750 deposit is required to secure a date for the State Fair Room, Pioneer Hall, or Modern Living Building. The deposit is non-refundable if the event is cancelled. The deposit/damage deposit is fully refundable within 10 days after the event If there is no damage to the building. The deposit may be forfeited if there is excessive cleaning than the normal cleanup, carpet stains or damage to the building after the event takes place. If damage/cleaning exceeds deposit, client will be responsible for additional changes. An event representative signs off on pre & post event inspection. It is encouraged that the tenant attends both pre/post event inspection with event representative.
PAYMENT INFORMATION
All payments must be paid in full at least ten (10) days prior to the day of the event, unless other arrangements have been made with State Fair Park. Payments can be made in instalments leading up until the settlement date if the event is contracted.
If your event utilizes food and beverage service from our catering partner, they handle their own invoice and payment collection. A deposit of 50% of the estimated food and beverage total is required at least 14 days prior to the scheduled event to confirm your catering order. Final and full payment will be due on event date. We gladly accept VISA, MASTERCARD, and DISCOVER, and AMERICAN EXPRESS credit cards. Personal checks cannot be accepted less than ten days prior to the event date; however, cash, credit card or a cashier’s check is acceptable. Please make checks out to the Central Washington Fair Association.
MOVE-IN/MOVE-OUT INFORMATION
If you would like to request an early move in day OR request a later move out day, please contact our Events Manager Lindsee Curfman at lindseec@fairfun.com . Additional move-in/move-out if available are 50% of the quoted rate unless alternate arrangement was agreed upon with State Fair Park.
INSURANCE
We do require event insurance for each event at State Fair Park. State Fair Park requires proof of comprehensive general liability insurance in the amount of $1 million dollars for the State Fair Room, Pioneer Hall and Modern Living Building. For SunDome, Grandstand and Outdoor Events, proof of comprehensive general liability insurance in the amount of $2 million dollars. Insurance is requested no later than thirty (30) days prior to the date of the event. If your event qualifies, insurance is available for purchase through State Fair Park. If you provide your own certificate of insurance (COI) for your event, please add the verbiage below as “additional insured”.
COI Verbiage- “Central Washington Fair Association, its officers, agents, and employees, the Board of Yakima County Commissioners are named as additional insureds on above referenced policy.”
SECURITY
State Fair Park contracts exclusively with CMS (Crowd Management Services) for all security needs during events. Security staff is required for events providing alcohol and is coordinated by State Fair Park.
